Colleague Support Team Responsibilities

Attend CST Meetings

  • Identify and communicate Colleague Support Team member needs
  • Provide input and feedback for Colleague and e-Services
  • Be knowledgeable of Administrative Systems projects
  • Be knowledgeable of Colleague changes affecting the members department
  • Identify reporting needs of their department

 

Attend Training Opportunities

Member will have the opportunity to attend Datatel training when it is available. Information Technology will periodically offer training to CST members that will help them become more knowledgeable in the use of Colleague. 

Document Business Processes

Member will participate in the documentation of their module’s business processes, by creating documentation manuals, FAQs, workflow diagrams, etc… 

Implement System Features

Member will take an active role in identifying system features that their department is interested in using. They will participate in implementing these new or unused features. The member and their department will take the lead and IT will provide guidance and assistance as necessary. 

Maintain Module Parameters

Member will collaborate with others to determine and define the allowed values for drop down boxes and look-up prompts within their module. Member will also maintain parameters in Colleague that need to be updated or added to periodically, such as allowed registration terms, load period definitions, etc…  

Offer Training Opportunities

Member will prepare and conduct module specific (FA, HR, CF, etc.) training for Colleague users.  

Query for Operational Needs

Member will retrieve data from their Colleague module upon request. This ensures that those entering the data (who are most familiar with it) are retrieving the appropriate information (data integrity). Institutional Research will still be responsible for reporting needs. 

Support e-Services Workflows

Member will provide assistance to those who have questions regarding e-Services features. Member also suggests improvements for e-Services. 

Test Software Updates/New Releases

Member will be responsible for coordinating and participating in testing of software updates and new features that affect their area(s) of Colleague. Member will be responsible for signing off on software updates, new features and new releases. 

Troubleshoot (1st Level Support)

Member will act as a Colleague resource for daily questions, how-tos and issues that arise concerning their Colleague module. 

Assist IT in Writing Rules

Member will work with Information Techology with the rules writing process. Rules are used to tailor Colleague to JCC’s business processes. For instance, rules are evaluated when a student registers online to determine if they are eligible.
