The following AnswerNet change requests are resolved with this update: 27857.22 - CBM00M/CBME formatting CIP incorrectly The CBM00M Export (CBME) process was modified to format the data reported in Item #9 "Major - CIP Code" correctly in the export file. It is now left justified and zero-filled per the report specifications. 26952.89 - TXST: Assigning wrong award level to CCD that begins with 'A' The CBM009 Export (CB9E) process and the Texas Report Grad Work File (TXGW) process now translate the award level for certificates and degrees using translation tables instead of using the first character of the code to determine the level of award. See the Client Impact Implementation Instructions for information on updating the appropriate file translation tables with award levels. 35454.85 - CBM009 award level table needs updating The TXST.CBM009.AWARD.LEVELS validation code table was updated to meet current specifications for award levels to be reported on the CBM009 Report. 12733.96 - TXST: PGWF writing incorrect key to ST.TX.CRS.STATUS file The Purge Graduation Work File (PGWF) process now writes the status file keys correctly so that the work file status may be reliably tracked for each report year and period. 18110.15 - BGWF - problem in TXSTB004B core completers The Build Graduation Work File (BGWF) process no longer terminates when it encounters a student program missing a CIP code. It now issues a warning message for the student and continues processing any remaining core curriculum completer students. 37575.96 - CBM002 programs calling IPEDS subroutine The BGWF and TXGW processes were changed to use the Texas-specific subroutine for retrieving a student's active academic program rather than the subroutine created for federal IPEDS reporting. 17916.44 - BGWF doesn't produce error report The BGWF process was corrected to automatically print or display any warnings and errors at completion. 37598.52 - BGWF needs additional savedlist for core completers The BGWF process populates the graduation work file for both gradates and core curriculum completers, both of which are reported on the CBM009 report. The process was modified to allow use of a separate savedlist for the two groups of students being reported. 37596.37 - Dates on BGWF should be Academic/Reporting Year The BGWF form has been modified to default the academic year start and end dates based on the reporting year entered for processing. The dates used for running the CBM009 and CBM00M reports cover the state of Texas fiscal and academic year which runs from September 1 through August 31, ending on August 31 of the reporting year. 17718.26 - TXST: EVCC needs catalog year The Evaluate Core Completers (EVCC) process now accepts an optional parameter field to specify a catalog for use when evaluating students against the core curriculum academic program. If the catalog parameter is blank, the EVCC process will continue to use the most recent catalog from the core curriculum academic program that was entered on the Texas Grad Report Parameters (TGRP) form. 6680.19 - TXST CBM009 Updates The EVCC process now accepts an optional institution parameter field to override the student's core curriculum completer location. If the institution parameter is blank, the EVCC process determines the location using the first department of the student's active academic program. The core curriculum completer institution is stored in a new TXST.STUDENTS field, which was added to the Texas Student Information (TSTU) form. The new institution field is now used by the BGWF process when building the graduation work file.

This software update resolves the following change requests: 33864.37 - The AGRI form was modified to allow access only when detailed from the Grant COD Inquiry (GCOD) form. 29938.63 - Both the DL COD Inquiry (DCOD) and Grant COD Inquiry (GCOD) forms were modified to include only accepted imported disbursements in the calculation of the COD Amt field. 31369.37 - The Sent Amount on both the DL COD Award Disbursements (DLDS) and DL COD History Summary (DLHS) forms have been modified to correctly show zero amounts when appropriate. 35874.15 - The description for the MPNDISOP message class has been updated to "MPN Discharge Report" and the message classes MPNINAOP and MPNEXPOP have been created. 35906.85 - The FA Institutional Defaults (FIDF) and FA Office parameters (FAOP) forms, in addition to several subroutines, have been modified to accept and validate the new format of the TG number. 16233.93 - The total field on the Pell Upcoming Disbursements (PLUD) report has been expanded to handle larger values. 35403.48 - The COD Export (CODE) process was modified to allow for selection of students who only have a particular type of award like Pell, DL, or Grant thereby limiting the type of errors generated by the process. 36908.56 - Online help has been added to the Dependent Student DNW Percent, the Independent Student with Dependents DNW Pct and the Independent Student w/o Dependents DNW Pct fields on the Supplemental Calc Parameters (SCPM) form. 15713.22 - The Application Workflow Choices (NAWC) form will now generate a message whenever the transaction being compared matches the federally flagged transaction indicating that no comparison is needed. 34631.22 - The subroutines used to transmit Financial Aid award information to Accounts Receivable have been corrected to prevent uninitialized error messages. 32377.15 - Colleague now determines the Fee percent based on the initial transmittal date of the first disbursement. 34414.04 - The Pell Reporting Campus, Pell Entity ID, and DL School Code fields have been removed from the COD Institutional Defaults (CSID) and the FA Office COD Parameters (CSOF) forms. They were no longer needed. 35889.52 - The CODE process has been modified to consider the Additional Unsubsidized Indicator, the Dependency Status, the Grade level and award amount to honor the new COD edits related to additional unsubsidized funding. .37624.26 - The CODE export process has been modified to prevent the sending of duplicate Pell information for a student. 37396.22 - The CODE export process has been modified to prevent the sending of hyphens in the Address Postal Code field. 38269.63 - Message class records DLFFEXOP and DECFENOP can now be imported using the Entrance/Exit Interview Import (DLEI) process. 37898.48 - The Promissory Note Print (DLPN) process will now print a 2008 promissory note for students with PLUS awards. 38577.52 - The flags used to specify whether additional unsubsidized awarding is appropriate have been moved to the loan level (and related to a specific loan) instead of at the student level. This software update resolves the following change requests: 16621.48, 29368.33, and 33321.52 The newly delivered Default Joint Name Format field lets the institution indicate whether they want to use a one-line joint mail label or a stacked joint mail label by default, and whether to use a joint salutation by default. This field has been added to the Communication Processing (PID7) form. The subroutines S.GET.MAIL.LABEL.NAME and S.GET.PREFERRED.NAME have been updated to construct joint mail labels and joint salutations as follows: If One Line is selected on the PID7 form, the following conditions must be true for Colleague to construct a one-line joint mail label or salutation: --The relationship must be between spouses. --Both people must have the same last name. --One record holder must have a prefix of "Mr." and the other must be "Mrs." If these conditions are met, then the joint mail label and joint preferred name will be constructed as Mr. and Mrs. [Variable Name] LastName. Technical: Variable Name is determined by the record holder of the "Mr." record as follows: For mail labels, Colleague looks at the PERSON.MAIL.LABEL field first. If that is null or has been manually entered, then Colleague looks at the PREFERRED.NAME field. For preferred names, Colleague looks only at the PREFERRED.NAME field and responds with the following. --If the field is null or is "FI," uses the person's first name. --If "FM," uses the person's full and middle names. --If "II," uses the person's first and middle initials. --If "IM," uses the person's middle name. --If the PREFERRED.NAME is blank or manually entered, then use first name. 24875.63 When accessing the Relations Inquiry (RELI) form, all relations for the specified PERSON will be displayed. Payment plan payments were overpaying charges that were paid by some other kind of payment (typically Sponsor Billing or Financial Aid). Resolution................: This software update provides new and updated forms and processes in Colleague and WebAdvisor, enabling the following: - Students can now view and pay their payment plans through WebAdvisor. - Institutions can now generate late charges on payment plans at any time. - Institutions can now define rules that control the GL distribution of WebAdvisor payments. - Payment plan payments no longer overpay charges paid by a higher priority payment. Client Impact.............: Clients can provide better customer service to their students by enabling the students to manage their payment plans online. Clients can also charge late fees on delinquent payment plans when they are late, rather than having to wait for the student to make a payment before the late fees are charged. Clients can now distribute WebAdvisor payments to multiple GL accounts. Student balances are now more accurate because charges are not overpaid. When the Update Physical Inventory (PINU) process was run, a large number of posting records without debit or credit amounts would get created. Also, the PICE form would allow a physical inventory count to be entered for an inventory item in an inventory store for which the Physical Inventory Setup (PINS) had not been run previously.
The PICE form has been updated to disallow entry of physical count for those inventory items where the quantity on hand does not match the sum of the FIFO quantities. The PICE form has also been updated so that the PINS process must have been run for the inventory store prior to entering the physical count for the inventory items for that inventory store on this form. 35556.93 - PGSA / EGPM no longer create SQL views The Populate GL Summary Analysis (PGSA) process in Colleague Finance and the Export GL Payroll Data Mart (EGPM) process in Human Resources were not creating the target SQL views when the Create Target SQL View flags were marked "Yes." The subroutine S.SEND.GL.SQL.VIEW has been updated so that the PGSA and EGPM processes will now create the target SQL views when indicated to do so.

When trying to save a large SQL View script (such as CF-GL_VIEWS), the ESVS form would refuse to save the record if either of the view creation scripts exceeded 32,500 characters. In SQL Server, the Multipart key views performed slower than they had to due to the use of a user-defined function (dbo.FIELD) instead of native functions. Queries against the views would also stop responding when they encountered record locks, which are inevitable in a production Colleague database. Clients with custom privileges on their SQL Server views would lose their security setups each time a Multipart key view was redeployed. Resolution................: After installing this software update, the Deploy SQL View Scripts (DSVS) form no longer hangs, the Edit SQL View Scripts (ESVS) form supports the @ Lookup and no longer complains about the view creation scripts being too large. SQL Server clients will also find that they no longer lose any defined privileges on their Multi-part key views, and that the performance of the views should be improved.
