Changing or Leaving Courses

Adding a Course

After the first week of a course, the instructor’s signature is required to add.

Dropping a Course

The first 10% of any course is the drop period. You will receive a 100% tuition refund for any course dropped during that period and 80% of your Student Fee. No refunds will be made after the first 10% of the course.

NOTE: Because many courses vary in length, it is critical that you check on the last day to drop or withdraw for each of your courses by going to www.jccmi.edu and under “Quick Links” choose “Drop Classes”. If you never attend or stop attending, you could still owe money with no refunds. You are responsible for dropping or paying for courses. It is the student’s responsibility to know these dates. You can also go to e-Services (at www.jccmi.edu) and click on Drop Sections.

For assistance, call Student Services at 517.796.8425. If you receive financial aid, call 517.796.8410 to discuss the impact of withdrawing so that you do not owe money back or lose your future financial aid.

Withdrawals ("W" Grade)

You will receive a “W” on your academic transcript if you withdraw after the add/drop period for your course. Add/Drop periods are based on the first 10% of that particular course. It is the student’s responsibility to inquire as to the last day to add or drop for each class. The information is available by going to www.jccmi.edu and choosing “Drop Classes” from Quicklinks, from e-Services under “Drop Sections” and on your printed Registration schedule when you register in person, by mail or by fax.

The “W” will not affect your academic grade point average but will count as a 0.0 in the calculation of your financial aid grade point average. This may affect your loan eligibility as well as future grants and scholarships. Your loan and PELL amounts might be reduced if you withdraw and you also may owe money if you withdraw completely.

Students must initiate the withdrawal in person at any JCC registration location, or by fax or mail -- You may not withdraw online. Failure to attend a class does NOT constitute an official withdrawal and may result in receiving failing grades (0.0).

Financial Aid Recipents – Drops & Withdrawals

Financial aid recipients must enroll in courses no later than the end of the add/drop period in order to receive financial aid funds.

Students attending JCC as Title IV (Federal Funds) financial aid recipients will be subject to an adjustment of Title IV Funds if they withdraw from all of their courses during the first 60% of the semester. This U.S. Department of Education calculation may result in the student owing the College. The return of Federal Title IV Funds will be in the following order: Federal Unsubsidized Stafford Loan, Federal Subsidized Stafford Loan, Federal PLUS Loan, Federal Pell Grant, Academic Competitiveness Grant and Federal SEOG.

Students should consult the Financial Aid Office prior to dropping any courses. Students will be billed for any financial obligation. Any forgiveness of a balance due must meet the W-exception criteria and is restricted to the amount of tuition and fees. Cost of living and book allowances are not eligible for refunds. W Exception (WX) & Refunds

Meeting the criteria for a W-Exception and refund will result in a “WX” grade on your transcript to indicate you experienced extenuating circumstances. A percent of your tuition and fees may be refunded based upon the date of the withdrawal from courses. Financial aid students meeting the criteria may have a percent of tuition and fees owed forgiven and may be extended an added semester of financial aid. Loan students may not be eligible for a refund.

One of the following criteria must be met for refunds with a “W-Exception” grade:

  • Death of an immediate family member (spouse, child, parent, or legal guardian of the student).
  • Return to work/change in working hours that occurred after the semester began and that substantially interferes with your ability to attend class. We will make every effort to find options for you to complete the semester before considering a refund.
  • Medical: Provide a doctor’s letter that your condition or injury prevents you from completing courses. The statement must include expected start and end dates of the medical condition, if known. The doctor must verify in the statement that the student cannot attend any course as the medical condition is very serious and prevents the student from participation in employment, education, and other major life activities for the duration of the semester.
  • Call to active military duty.

Procedure

Discuss your situation with your instructors and an academic advisor. You may have options that are more favorable than withdrawing from courses. If you must withdraw and meet the criteria, complete the Application for W-Exception and Refunds form, available at any JCC Student Services location and online. Attach supporting third party documentation on official letterhead, signed by a physician, an employer or military official.

Students who are financial aid recipients may not be eligible for a cash refund. Students receiving federal aid who withdraw completely should contact the Financial Aid office for details of the Return of Funds policy that is in place for all recipients of federal financial aid. A request for a “W-Exception” grade change and/or balance forgiven that meets the above criteria must be submitted before the last day of the course. Any forgiveness of a balance due is restricted to the amount of tuition and fees. Cost of living and book allowances are not eligible for refunds.

Refund Scale

If you meet the criteria for W-Exception refund, your tuition are fees will be refunded based on the following scale. You may choose the Refund Scholarship Option.

Time of Withdrawal for Course(s)

  • Before the end of the first 10% of your course
  • From 11% to 25% of your course
  • From 26% to 40% of your course
  • From 41% to 60% of your course
  • After 60% of your course

Amount of Payment Refund

  • 100% tuition and course fees & 80% of student fees
  • 75% of tuition and all fees
  • 50% of tuition and all fees
  • 25% of tuition and all fees
  • No Refunds

*Note: Call to active military duty will be eligible for a full tuition and fees refund.

Refund Scholarship Option

At any time, if you meet the W-Exception and refund criteria, you may choose to have 100% of your tuition and fees used toward courses taken at JCC within the next calendar year. If you choose this option, the Refund Scholarship can only be used on JCC courses and cannot be refunded in the form of cash at any point.
